What are Secure Email Referrals?
It is a delivery method to send referrals via email to specialists who are not OCULO members and are eligible providers. The secure email includes a link to OCULO to download the referrals as a pdf.
The Secure Email Referrals don't include clinical information in the body of the emails or attachments.
What is an eligible provider/recipient?
Eligible providers are non-OCULO members with an available email address who have not already opted out of secure email referrals.
First-time recipients will have to view their first referral successfully before OCULO allows more to be sent via this method. For their first Secure Email Referral, they are asked to set a password, and for subsequent referrals, they can use a one-time secure link to access them as an alternative to using their set password.
Public hospitals are opted out by default. Please contact OCULO if there is a public hospital that wants to receive emailed referrals.
Why does OCULO use Secure Email Referrals for some communications?
Secure Email Referrals are a safe and seamless alternative to fax. If an email address is available from an eligible provider, OCULO will display the option to send a referral by email. The recipient needs to create a free OCULO account (set a password for the email address) to access the referrals. If a recipient doesn't open an account or accept the referrals, the Secure Email Referrals delivery will not be available, even if OCULO have an email address from them.
How do I use it?
Where possible, OCULO has enabled specialists with Secure Email Referrals. When you select a Specialist contact from the Provider Directory, the option to send the communication via email will automatically be displayed at the confirmation page. Click the "@Send by Secure Email" button and wait for it to turn green to confirm that the referral has been sent.
Once the Secure Email Referral is sent, you will be able to see the referral status in 'My Referrals.' Both senders and recipients will be sent reminders if the referral has not been viewed. You can still deliver referrals manually if required.
